Law Firm – Bucharest

We are looking for an organized, reliable, and communicative person for the role of Office & Client Intake Coordinator within a law firm in Bucharest.

This role is suitable for someone who works in a structured manner, can handle multiple requests, communicates professionally with potential clients and colleagues, and follows tasks through to completion.

This is an administrative-operational and client intake role, not a legal role, legal counsel role, or trainee lawyer position.

The role is hands-on during the first months and involves direct involvement in front desk activities, lead intake, CRM, follow-up, and operational support. Depending on performance, workload, and team development, it may evolve into an operational coordination / office management position.

What You Will Do

1. Client Intake & Potential Clients

  • Handle requests received by phone, email, WhatsApp, or directly at the office.
  • Clarify, at an initial level, the service requested by the potential client.
  • Accurately record contact details and relevant information.
  • Enter and update potential clients in the CRM / JG.
  • Forward requests to the coordinating lawyer / responsible lawyer.
  • Follow up with potential clients so that requests do not remain unanswered.

2. Office Operations & Front Desk

  • Answer phone calls and manage current requests.
  • Receive and forward correspondence, documents, scans, and materials.
  • Redirect documents, emails, and information to the appropriate colleagues.
  • Provide administrative support to colleagues: powers of attorney, annexes, documents, printouts, archiving, document transmission.
  • Maintain operational order in the administrative area of the office.

3. Task Management & Reporting

  • Keep track of received tasks in the Task Register.
  • Send the daily To Do list for the following day.
  • Send the Weekly Status on Fridays.
  • Monitor deadlines, statuses, and blockers.
  • Signal in advance when you need clarifications or reprioritization.

4. Procedures & Internal Organization

  • Contribute to the standardization of internal workflows.
  • Document simple procedures for recurring activities.
  • Help reduce interruptions and improve the organization of internal requests.
  • Contribute, when needed, to recurring content / marketing tasks, such as posts, news items, or short materials.

What We Are Looking For

  • Previous experience in a role such as office assistant, executive assistant, junior office manager, client support, customer service, operations assistant, front desk, or a similar position.
  • Good written and spoken English.
  • Clear and professional communication.
  • Attention to detail.
  • Good organization and prioritization skills.
  • Comfort working with email, Excel / Google Sheets, calendars, documents, and CRM-type systems.
  • Ability to track multiple tasks without losing follow-up.
  • Reliability, discretion, and a solution-oriented mindset.
  • Availability to work from the office, from 09:00 to 18:00.

Nice to Have

  • Experience in a law firm, consultancy, professional services firm, accounting firm, real estate company, private clinic, or corporate environment.
  • Experience with CRMs, task management tools, or internal tracking systems.
  • Experience in client / potential client communication.
  • Ability to write short, clear, and accurate texts.

What This Role Is Not

This is not a trainee lawyer, legal counsel, or legal trainee role.

It does not involve complex legal drafting and is not intended as a transition step toward practicing law.

It is a role focused on organization, client intake, follow-up, front desk, and operational support.
